Third Meeting with Sri Rohit Reddy, MD Prajay with Society Executive Members

Third Minutes of Meeting held at Prajay Head Office, Begumpet, Hyderabad, TS, India on  31st July  2023.

 

On 31st July 2023, A delegation met with Managing Director Sri Rohit Reddy, Prajay Begumpet. On the Request of Society, this meeting was convened between the PRAJAY WATERFRONT CITY PHASE 2 OWNERS MUTUALLY AIDED COOPERATIVE MAINTENANCE SOCIETY LTD which Secretary Sri Vijender Kumar Solanki leads to meet  MD Sri Rohit Reddy,  Managing Director, Prajay, Begumpet on 31-03-2023, at 11.30 AM to 12.55 PM at Prajay Office, Begumpet.

The meetings started with the exchange of greetings by both sides. The meeting started with the previous meeting minutes dated 15th April 2023 and 26th June 2023.

 

 

 

The General Secretary started the meeting and shared the pleasure of arranging the discussion and taking the work rampantly to complete the project by December 2023, which is currently ongoing in Prajay phase 02.

 

Transformer & Sub-Station

Query: Referencing previous meeting minutes [1],[2] Secretary Vijender Kumar Solanki asked about the updates for transformers and other attached electrical infrastructure for Prajay phase-02 to enable uninterrupted power supply.

 

Reply- The Managing Director, Sri Rohit Reddy, stated into that

      I.         The place for Sub-Station in phase 01 is identified. Shortly we will have our sub-station feeder system for Prajay waterfront city.

    II.         The paperwork for hiring the contractor is done, and he will start working on technical procedures to place the wireline and other necessary peripherals.

   III.         Once the sub-station gets ready, the electricity line shall be transferred from the sub-station to phase 02 and some more neighbouring areas, as discussed with officials of the electricity department.

  IV.         MD Sri Rohit Reddy confidently shared that society can see some physical progress in the upcoming months. The papers were processed, and 32 Lakh rupees cheques were paid to the electricity department. Some documents shall be shared with society upon request of Sri Vijaysaradhy ji.

 

 

Complaint Management & Redressal Procedure

Query – Complaint Submission and its redressal mechanism need to restructure as multiple channel reporting led to delays in the work and many times got fused somewhere.

 

Reply- MD, Sri Rohit Reddy, said that in the past couple of months since the society got registered, we have noticed much developmental work looking into the society.

While asking the part of maintenance, we are resolving the customer's complaint on time, but the problem which is coming before us is we need to get inputs on whether the complaint is redressed or not. Many times even, it's coming again and again. In addition, multiple people are receiving the same complaint, including the head office. He accepted that once the complaint is addressed, the owner and society must witness the same on paper. He further proposes that it’s time to restructure the site office along with society members. Once the work is finished, it is requested that some of the society's directors confirm and sign that it is accomplished. It will help us to monitor our work with a much better approach. He also said shortly, he would visit the site office and meet with site staff and some society members to smoothen the process of complaint redressal management.

 

24x 07 Maintenance Office Availability Proposal

Query - Vijender Kumar Solanki, the Secretary, again reiterated that, as discussed in the previous meeting [2] why we are failing to set up a 24x07 maintenance office open and a single mobile number for noting all complaints and then start sorting them out for the benefit of society residents and owners.

 

MD showed his interest and said he would take the call to discuss more with its site staff team.

 

Maintenance Charge from Outside Vendors

Query - Vijender Kumar Solanki, the Secretary, shared his displeasure about some of the site-staff attitude towards owners for demanding 05k or 10K for some additional work if it's carried out by outsider vendors, explicitly citing the name of site staff; he stated that it’s not good to speak impolite, rude and not providing detail info well in advance to owners while taking maintenances from them. The owner is often outstation and needs to be made aware of such maintenance demand of 05k or 10K, but when their vendor and material come to the gate, security asks them to connect with site staff, and there they demand such funds.

 

 

MD, Sri Rohit Reddy shared that in the past, we had some understanding that if some outside vendor came and utilized the resources of Prajay, we must ask them to pay some maintenance for that work, and its ranges from 05k to 10K. He also states that in this regard, there is a document also, which he will be sharing soon with us. After this document sharing, we hope it's easy for owners to understand such protocols.

 

 

Road Conditions

Query - Vijender Kumar Solanki, Secretary, explained that the conditions of roads in a couple of years started deteriorating, and in many places, it's very pathetic and needs immediate repairs.

 

Reply- MD Sri Rohit Reddy, in reply, explained that due to construction work, it's possible to see somewhere road get damaged but mostly seems fine, and it's of the concrete road, so we will ensure it gets repaired wherever damaged.

 

 

Project Completion Status

 Query - Vijender Kumar Solanki, Secretary, as discussed in the previous meeting [2], what is the deadline for project completion and when may we expect to take maintenance in society accounts in place of Prajay's?

 

Reply- MD, Sri Rohit Reddy, shared his confidence in December 2023, we are prioritizing completing the phase 02 project, and he said immediately after that you might take maintenance in society into account, even though he expressed his willingness to give it in Dec 2023 itself, if society ready to proceed.

 

Borewell Issues

Query - Vijender Kumar Solanki, Secretary, briefed that in phase 02, as per site office information, there are three borewells. Out of that, only one is functional, and two need immediate attention to work operational.

Reply- MD, Sri Rohit Reddy, expressed his worry and assured him to get more follow-ups from the site office to get it functional. A quotation is given to get more details to get it operational for phase 02 residents and owners.

 

 

Boundary Wall Status

Query - Vijender Kumar Solanki, the Secretary, requested to share updates on boundary wall updates.

Reply- MD, Sri Rohit Reddy, said it was slow due to rain, but from August onwards, it will resume, and we hope to finish it by Dec 2023 or before.

 

Security Issue

Query - Vijender Kumar Solanki, the Secretary, appreciate the improvement in security guards for Prajay phase 02 but discusses sharing a Single point of contact number at gate no 06 and gate no 07.

 Reply- MD, Sri Rohit Reddy, agreed and appreciated the idea for the benefits for residents and owners of Prajay Phase 02.

 

Prajay Vehicle Parking Issues

Query - Vijender Kumar Solanki, Secretary, said that despite the earlier discussion, many vehicles belonging to Prajay still stand inside phase 2 in front of house owners' houses.

 Reply- MD Sri Rohit Reddy noted the concern and said it would get clear with the site engineer discussion.

 

Debris & Unused Material Issues

Query - Vijender Kumar Solanki, Secretary, discuss the debris issues in phase 02; it's common to see unused waste material.

 Reply- MD, Sri Rohit Reddy, said that such a situation is arising due to construction, but he is hopeful to give a clearer picture in some months of the places where house constructions are completed.

Maintenance issues - Prajay Water Front City Phase 02, Shamirpet, Hdyerabad

    011- The majority  of house owners are in favor of giving maintenance dues to society accounts only and making society as accountable as well. If the owner pays to Society, then once a month by Society account, we could pay you whatever maintenance dues are received monthly. Initially, it will be a little hard, but soon it may get streamlined with the support of Prajay staff and EC member coordination. we are seeking your opinion on this line .   022-    While  collecting the response from owners via GBM, door-to-door, and one-to-one calls, we came to know that many of the houses are still a year in duration, and they paid already for a year advance during handover. So, Society would like to know How many houses are eligible to participate in the maintenance dues?  A detail of houses and their owner’s information will help us to quickly connect and brief the builder’s proposal and society's opinion on that.     033- ...
